1. About Us

OotyBookings operates as the online booking platform for Ooty Eco and Wild Tours, a locally-owned and operated tour company based in Ooty, Tamil Nadu, India. We are indigenous tour operators specializing in authentic, eco-friendly travel experiences in the Nilgiris.

2. Definitions

To help you understand these terms better:

  • “We,” “Us,” “Our” refers to OotyBookings and Ooty Eco and Wild Tours
  • “You,” “Your,” “Guest,” “Traveler” refers to the person booking or participating in our tours
  • “Tour Package” refers to any travel service, activity, or accommodation booked through us
  • “Booking” means your confirmed reservation for a tour package
  • “Service Provider” refers to hotels, transport operators, activity providers, and other third parties we work with

3. Booking and Payment Terms

3.1 How to Book

You can book our tour packages through:

  • In-person at our Ooty office

3.2 Booking Confirmation

  • A booking is confirmed only after you receive written confirmation from us via email or WhatsApp
  • Your booking confirmation will include: package details, dates, pricing, inclusions, and payment schedule
  • Please verify all details in your confirmation immediately and notify us of any errors within 24 hours

3.3 Payment Schedule

Standard Payment Terms:

  • Advance Payment: 30% of total package cost at the time of booking
  • Balance Payment: 70% must be paid at least 7 days before tour start date
  • Last-Minute Bookings: (within 7 days of travel) require 100% advance payment

Accepted Payment Methods:

  • Bank Transfer / NEFT / RTGS / UPI
  • Credit/Debit Cards (processing fee may apply)
  • Cash (for in-person bookings only)
  • Online payment gateways

3.4 Payment Confirmation

  • All payments must be confirmed with transaction receipt
  • Tour services begin only after full payment is received
  • We reserve the right to cancel bookings if payment is not received by the due date

3.5 Pricing

  • All prices are quoted in Indian Rupees (INR)
  • Prices are per person unless otherwise stated
  • Prices are subject to change without notice until booking is confirmed with advance payment
  • Seasonal surcharges may apply during peak periods (April-June, December-January)
  • GST and other applicable taxes are included unless mentioned otherwise

4. Cancellation and Refund Policy

4.1 Cancellation by You

We understand plans change. Here’s our cancellation policy:

Important Notes:

  • Cancellation notice must be sent in writing (email or WhatsApp)
  • Cancellation is effective from the date we acknowledge receipt
  • Refunds will be processed within 7-10 business days
  • Refunds are made to the original payment method
  • Bank charges for refund transfers will be deducted from refund amount

4.2 Cancellation by Us

We may cancel your tour due to:

  • Insufficient bookings (minimum group size not met)
  • Extreme weather conditions or natural disasters
  • Government restrictions or force majeure events
  • Safety concerns

In case of our cancellation:

  • 100% full refund OR
  • Reschedule to alternative dates (your choice)
  • Refunds processed within 7 business days

4.3 Modification of Booking

Changes by You:

  • Date changes: Allowed subject to availability; may incur charges
  • Package upgrades: Price difference applies
  • Name changes: Allowed up to 7 days before travel; ₹500 admin fee
  • Downgrades: Refund difference minus 20% administrative charge

Notice: All modification requests must be made at least 7 days before tour start date.

4.4 Force Majeure

No refunds or compensation for cancellations due to:

  • Natural disasters (landslides, floods, earthquakes)
  • Political unrest, strikes, or riots
  • Government orders or restrictions
  • Acts of terrorism
  • Pandemics or health emergencies
  • Other events beyond our reasonable control

However, we will assist you in rescheduling or provide credit for future travel.


5. What’s Included and Excluded

5.1 Standard Inclusions (Unless Otherwise Specified)

Typically Included:

  • Accommodation as per package (hotel/resort/tent stay)
  • Transportation in private vehicle with driver
  • Tour guide services (where specified)
  • Sightseeing as per itinerary
  • Select meals (as mentioned in package details)
  • All current applicable taxes

5.2 Standard Exclusions

Not Included Unless Specified:

  • Flight/train tickets to and from Ooty
  • Entry fees to monuments, parks, and attractions
  • Camera fees at tourist spots
  • Personal expenses (laundry, telephone, tips, etc.)
  • Travel insurance
  • Medical expenses
  • Activities not mentioned in itinerary
  • Meals not specified in package
  • Anything not explicitly mentioned in inclusions

Important: Each package has specific inclusions and exclusions. Please refer to your booking confirmation for complete details.


6. Your Responsibilities

6.1 Personal Information

You must provide:

  • Accurate personal information (name, age, contact details)
  • Valid ID proof for all travelers
  • Emergency contact information
  • Special requirements (dietary, medical, accessibility) at time of booking

6.2 Travel Documents

You are responsible for:

  • Valid government-issued photo ID for all travelers
  • Any required permits or permissions
  • Medical prescriptions and necessary medications
  • Travel insurance (highly recommended)

6.3 Conduct During Tour

You agree to:

  • Follow our guides’ instructions for safety
  • Respect local culture, customs, and communities
  • Comply with all local laws and regulations
  • Refrain from littering and damaging the environment
  • Not engage in illegal activities
  • Not carry prohibited substances or items
  • Treat our staff and service providers with respect

We reserve the right to terminate your tour immediately without refund if you:

  • Engage in illegal activities
  • Behave in a manner that endangers yourself or others
  • Damage property
  • Violate these terms
  • Disrupt other guests’ experiences

6.4 Health and Fitness

  • Inform us of any medical conditions, allergies, or dietary restrictions
  • Ensure you are physically fit for activities included in your package
  • Carry necessary medications and prescriptions
  • Consult your doctor before booking adventure activities

We are not liable for health issues arising during the tour unless caused by our negligence.

6.5 Timelines and Schedules

  • Be punctual for all pick-ups, activities, and departures
  • Late arrival may result in missed activities with no refund
  • Delays due to your actions (e.g., late check-out) may incur additional charges

7. Our Responsibilities and Limitations

7.1 What We Commit To

We promise to:

  • Provide services as described in your confirmed booking
  • Use reasonable care in selecting service providers
  • Provide experienced, knowledgeable local guides
  • Ensure vehicles are well-maintained and licensed
  • Respond to queries and concerns promptly
  • Maintain your privacy and data security

7.2 Limitations of Liability

We are NOT responsible for:

Third-Party Services:

  • Actions or omissions of hotels, restaurants, transport providers, or other third-party service providers
  • Quality of service provided by third parties (though we select partners carefully)
  • Loss or damage to your belongings at hotels or during transportation

Beyond Our Control:

  • Weather conditions affecting your experience
  • Road conditions or traffic delays
  • Flight/train delays or cancellations
  • Government restrictions or closures of tourist sites
  • Natural events (landslides, earthquakes, etc.)
  • Personal accidents or injuries (unless due to our direct negligence)
  • Theft of personal belongings

Maximum Liability: Our total liability for any claim is limited to the amount you paid for your tour package. We are not liable for indirect, consequential, or punitive damages.

7.3 Itinerary Changes

We reserve the right to:

  • Modify itineraries due to weather, road conditions, or unforeseen circumstances
  • Substitute hotels or activities with similar standards if originals are unavailable
  • Cancel specific activities if unsafe or not feasible

We will always attempt to provide comparable alternatives. No refunds for minor itinerary changes.


8. Travel Insurance

8.1 Recommendation

We strongly recommend purchasing comprehensive travel insurance covering:

  • Trip cancellation/interruption
  • Medical emergencies and evacuation
  • Lost baggage
  • Personal accident
  • COVID-19 related coverage

8.2 Not Our Responsibility

  • We do not provide travel insurance
  • We are not liable for losses that would be covered by insurance
  • Medical expenses are your responsibility

9. Photography and Media

9.1 Our Use of Content

By joining our tours, you consent to:

  • Being photographed or filmed during the tour
  • Us using such photos/videos for marketing purposes (website, social media, brochures)
  • Your testimonials being shared (with your permission)

Opt-Out: Inform us in writing if you do not wish to be photographed or featured.

9.2 Your Content

  • You retain ownership of photos/videos you take
  • We appreciate (but don’t require) you tagging us on social media
  • You may not use our brand name or logo without written permission

10. Special Requests and Customization

10.1 Custom Packages

  • We welcome requests for customized itineraries
  • Custom packages are subject to availability and feasibility
  • Pricing for custom packages will be provided upon request
  • Custom bookings follow the same terms and conditions

10.2 Special Requirements

We try to accommodate:

  • Children under 5 years: Free (with parents, sharing bed, no separate seat in vehicle)
  • Children 5-12 years: Discounted rates apply
  • Children must be supervised by parents/guardians at all times
  • Age proof required at time of tour

11.2 Senior Citizens

  • Inform us of mobility limitations
  • Discounts may be available for senior citizens (60+ years)

12. Feedback and Complaints

12.2 Complaints

If something goes wrong:

During the Tour:

  1. Immediately inform your tour guide or driver

  3. We will attempt to resolve issues on the spot

After the Tour:

  1. Email us within 7 days: ootybookings@gmail.com
  2. Provide: booking reference, date, detailed description of issue
  3. Include supporting evidence (photos, receipts) if applicable
  4. We will respond within 48 hours
  5. Resolution or compensation (if applicable) within 15 days

We cannot address complaints raised more than 30 days after tour completion.
